DataStream OS is an internal business application used by DataStream Networks staff to manage the IT services we provide to our clients. It is not sold or offered to anyone outside DataStream. This policy explains what information DataStream OS accesses, how it is used and protected, and the choices available to you.

1. Information we access

DataStream OS connects to the business systems DataStream already uses, with read-only access. It never creates, changes or deletes information in those systems.

QuickBooks Online (Intuit). With the authorization of a DataStream administrator, DataStream OS reads from DataStream’s own QuickBooks Online company:

Customers: ID, name and active status

Recurring invoice and sales receipt templates: name, schedule, line items (product or service, quantity, price) and amounts before tax

We do not store customer contact details, addresses, email addresses, phone numbers, tax information, or line descriptions and memos.

Other service-management systems. DataStream OS also reads limited information from the IT management, ticketing, email-administration and security tools DataStream uses to service its clients. This covers organization names, device inventory and status, ticket metadata, Microsoft 365 user names, email addresses, account status and assigned licenses, and security alert metadata. Each integration stores only the fields needed for the features described below.

Staff sign-in. DataStream staff sign in with their Microsoft work account. We store the staff member’s name, work email and assigned role. We never store passwords.

2. How we use the information

We use the information only to operate DataStream’s own business:

  • to see each client’s services, devices, users and open issues in one place
  • to calculate recurring revenue and to check that what we bill matches the services we deliver
  • to find unused software licenses and gaps in security coverage

We do not sell, rent or share this information for advertising or marketing, and we do not use it to make decisions about individuals.

3. Sharing

Information in DataStream OS is available only to authorized DataStream staff, according to their role. We do not disclose it to third parties, except:

  • to service providers that host or support our systems under confidentiality obligations
  • where required by law

4. How we protect information

Access requires a DataStream Microsoft work account, with multi-factor authentication enforced by Microsoft, and is limited by role.

Connections to QuickBooks and the other systems use encrypted HTTPS.

QuickBooks access tokens are stored only on our server, encrypted (AES-256-GCM), and never displayed or written to logs.

Security-relevant actions, such as connecting or disconnecting QuickBooks, are recorded in a tamper-resistant audit log.

The database is not reachable from the internet.

5. Retention and deletion

Information is kept while it is needed for the purposes above and is refreshed from the source systems on a regular schedule. When a DataStream administrator disconnects QuickBooks Online, DataStream OS revokes its access at Intuit and deletes all QuickBooks data it had stored. Records removed from a source system are marked as removed and excluded from reports.

6. Your choices

A QuickBooks Online company administrator can end DataStream OS’s access at any time:

  • in DataStream OS, under Settings → Disconnect, or
  • in QuickBooks Online, under Settings → Apps → Connected apps

We handle personal information in accordance with applicable Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (PIPA).

7. Changes

We may update this policy when DataStream OS changes. The effective date above shows when it was last revised.
